Garbage In, Garbage Stays

Property managers are hearing the same promise everywhere: AI will save time, find patterns, and make better decisions possible. That promise can be true, but only when the information underneath it is trustworthy.

Garbage in, garbage stays.

AI does not know that an owner balance was carried forward incorrectly. It does not know that two team members used different accounts for the same type of charge. It does not know that an unresolved item is a software setup problem rather than a real expense. It sees data and works with it.

That means a messy ledger can produce a polished answer that is still wrong.

Before building an AI workflow, test the foundation:

- Pick one report that matters, such as owner draws, delinquency, or bank reconciliation.

- Trace several totals back to the transactions that created them.

- Confirm that names, dates, properties, accounts, and balances match the real activity.

- Investigate exceptions instead of automatically clearing them.

- Fix the process that created the bad data so the same problem does not return next month.

This is not about delaying automation until every historical item is perfect. It is about knowing which numbers are dependable, which need cleanup, and where human review belongs.

A strong workflow uses AI to speed up work without surrendering judgment. The software can organize the evidence. A knowledgeable person still decides whether the evidence makes sense. That review also creates a record the next employee can understand instead of repeating a hidden workaround.

The order matters: clean the inputs, define the rules, automate the repeatable steps, and review the result. That is how AI becomes a useful assistant instead of a faster way to repeat an old mistake.
